Terms and Conditions

By accessing or using the website and services of Elite Kickboxing Academy Ltd, you agree to be bound by these Terms, as updated from time to time in accordance with the provisions herein. If you do not agree to these Terms, please do not use our website or services.

Class Bookings

All class places must be booked and paid in full in advance through the website using a credit/debit card. Upon booking, you will receive a confirmation email.

Cancellation of Class Booking by Customer

Once you have booked a class, you are committed to it and no refunds will be given. In special circumstances where you are unable to attend the majority of booked classes, you may be offered a transfer to another term of classes.

Cancellation of Classes by Elite Kickboxing Academy Ltd

In the event of insufficient numbers, Elite Kickboxing Academy Ltd may need to cancel classes. In this case, as much notice as possible will be given, and alternative dates will be offered. In the case of unforeseen circumstances, Elite Kickboxing Academy Ltd may need to cancel classes. In this case, as much notice as possible will be given, and an alternative date for the missed class will be offered.

Cancellation of Classes by Venue

In the event of a venue closure due to reasons out of our control, as much notice as possible will be given and alternative dates will be offered. No refunds will be given unless it is an ongoing issue.

Merchandise Purchases

When purchasing merchandise, you agree to the following:

You are responsible for reading the full item listing before making a purchase.
You enter into a legally binding contract to purchase an item when you complete the checkout process.
In the case of a damaged product, you may return it with its included accessories and packaging, along with the original receipt (or gift receipt), within 14 days of receiving the product. We will either repair the defect or replace the product. Products can only be returned in the country in which they were originally purchased. We will pay for shipment of repaired or replaced products to you, and you will be responsible for returning the product to us.

Intellectual Property

The website, services, and all materials related thereto, including text, graphics, logos, images, software, patents, trademarks, service marks, copyrights, photographs, audio, videos, music, and all Intellectual Property Rights, are the exclusive property of Elite Kickboxing Academy Ltd. You agree not to sell, license, rent, modify, distribute, copy, reproduce, transmit, publicly display, publicly perform, publish, adapt, edit, or create derivative works thereof.

Indemnification

Safeguarding Policy

Elite Kickboxing Academy is committed to ensuring the safety and wellbeing of all our students, particularly children, young people, and vulnerable adults. Chris McGlynn is our designated Safeguarding Officer, who is responsible for overseeing the implementation of our safeguarding policies and procedures.

All instructors at Elite Kickboxing Academy hold current Enhanced Disclosure and Barring Service (DBS) certificates, have received training in safeguarding, and adhere to our safeguarding policy. If any member of the Academy has a concern about the welfare of a student, they should speak to our designated Safeguarding Officer, Chris McGlynn, or contact the relevant authorities.

We also have a Code of Conduct for our instructors, which sets out the expectations for their behaviour in their interactions with students. This includes avoiding any behavior that may be construed as inappropriate, including physical contact that is not necessary for teaching or safety purposes.

Code of Conduct

At Elite Kickboxing Academy, we value respect, discipline, and responsibility. We expect all our instructors, staff, and students to uphold these values and behave in a professional and courteous manner at all times.

Instructors and Staff:

Maintain a professional demeanor and be courteous to all students and their families.
Provide clear and concise instruction that is appropriate for the age and skill level of the students.
Avoid any behavior that may be construed as inappropriate or disrespectful towards students, including physical contact that is not necessary for teaching or safety purposes.
Follow all Academy policies and procedures, including those related to safeguarding, first aid, and photography.
Continually develop your skills and knowledge through training and professional development opportunities.

Students:

Arrive on time and be prepared for each class, including wearing the Academy uniform and bringing any necessary equipment.
Follow the instructions of the instructors and staff, and treat them with respect and courtesy.
Show respect and courtesy towards other students, and avoid behavior that may be disruptive or disrespectful towards them.
Inform the instructors and staff of any injuries or medical conditions that may affect your training.
Follow all Academy policies and procedures, including those related to safeguarding, first aid, uniform, and student insurance.

We take any breaches of this Code of Conduct seriously and will take appropriate action to address them. This may include disciplinary action up to and including expulsion from the Academy.

Complaints Policy

We take our responsibility to treat our members fairly and with respect very seriously. Accordingly, whilst it’s always disappointing to hear of a complaint, we welcome the opportunity to resolve your concerns and improve the way in which we run our club.

Complaints Policy

We understand that there may be occasions when you are not completely satisfied with the service we provide. We aim to address all complaints in a fair, consistent, and timely manner. To ensure that we are able to deal with complaints effectively, we have developed the following complaints policy:

Identifying the addressee

Before submitting a complaint, please identify who should receive it. This will help to ensure that your complaint is directed to the right person or department.

Initial Complaint

If you have a complaint about any aspect of our kickboxing class business, please raise it with us in writing. You can send an email to elitekickboxingacademy@gmail.com or submit a complaint through our website. Please provide as much detail as possible about the nature of your complaint, including any relevant dates, times, and individuals involved. We will acknowledge your complaint within 2 business days and aim to resolve it within 10 business days.

Formal Complaint

If your complaint is not resolved to your satisfaction or if you feel uncomfortable speaking with our staff or trainers, you may submit a formal complaint in writing to elitekickboxingacademy@gmail.com. Please provide as much detail as possible about the nature of your complaint, including any relevant dates, times, and individuals involved. We will acknowledge your complaint within 2 business days and aim to resolve it within 10 business days.

Further Action

If you are not satisfied with the outcome of your complaint, you may escalate it to our association, The British Martial Arts & Boxing Association (BMABA). First Aid Policy

The safety of our students is of paramount importance to us at Elite Kickboxing Academy. All our instructors are first aid trained, and we ensure there is a fully equipped first aid kit on site at all times.

In the event of an accident or injury, our instructors will take appropriate action to ensure the safety and wellbeing of the affected individual. This may include administering first aid or calling for emergency services if necessary. Parents/guardians will be contacted immediately in the event of an accident or injury, and we will provide updates on the individual's condition as necessary.

Uniform Policy

At Elite Kickboxing Academy, we require all our students to wear the Elite uniform during every class. This helps to create a sense of unity and ensures that everyone is appropriately dressed for training.

Our uniform consists of a black Elite branded t-shirt, black kickboxing trousers. The student must also wear their relevant kickboxing belt.

Uniforms can be purchased through the website. Click Pricing and Select the Uniform Plan. Your uniform will be ordered for you and you will receive it within 3 weeks of payment.

Students will not be permitted to grade unless they have full uniform.

If a student forgets their uniform on occasion, they may wear suitable alternative clothing. However, if alternative clothing is deemed unsuitable for training, the student will not be able to participate.

Photography Policy

Elite Kickboxing Academy occasionally takes photographs and videos of our students for promotional and training purposes. We will always seek permission from parents/guardians before taking photographs or videos of children.

If you do not wish for your child to be photographed or filmed, please inform us by emailing elitekickboxingacademy@gmail.com. We will respect your wishes and ensure that your child is not included in any photographs or videos. We also take the privacy and security of our students seriously, and we will take appropriate measures to ensure that any photographs or videos are stored securely and not shared without appropriate permissions.

Insurance and Assumption of Risk Policy

At Elite Kickboxing Academy, we prioritize the safety and well-being of our students. To ensure proper coverage, we maintain public insurance and indemnity insurance through our affiliation with the British Martial Arts and Boxing Association (BMABA).

As part of our commitment to providing a secure training environment, all students are required to pay an annual License Membership fee of £12 per year. This fee contributes towards our insurance coverage, specifically the public insurance that protects our students and the general public during training sessions and events.

The public insurance obtained through our affiliation with BMABA offers comprehensive coverage in case of accidents or injuries that may occur during kickboxing classes or related activities. This insurance safeguards students and provides peace of mind, knowing that they are protected against unforeseen circumstances.

For students who are interested in additional insurance coverage beyond what is provided through our public insurance, we offer the option of personal student insurance. This insurance plan offers an extra layer of protection, covering personal accidents and injuries that may occur during training sessions or competitions.

Please note that while we strive to maintain comprehensive insurance coverage, all students are expected to adhere to our Code of Conduct and assume responsibility for their own actions and participation in kickboxing training.

By joining Elite Kickboxing Academy, students contribute towards the annual License Membership fee of £10, which supports our public insurance coverage, ensuring the safety and well-being of everyone involved in our classes and events.

Assumption of Risk Policy:

At Elite Kickboxing Academy, we recognise that kickboxing is a high-intensity activity that carries some level of risk. By participating in our classes, students assume responsibility for any injuries or accidents that may occur during training.

Students who have achieved a Green belt grading, are required to sign an Assumption of Risk Form before participating in further classes. This form acknowledges that the student understands the risks involved in kickboxing and sparring and agrees to participate at their own risk.
